Office & HR Coordinator

Location: This role can be based in either Minnesota (remote) or New York Job Description: We are seeking a highly organized, proactive, and people-oriented Office & People Coordinator to support both our employee experience and day-to-day office operations. This role sits at the intersection of People (HR) and Operations, ensuring our team feels supported, our culture is strong, and our workplace runs seamlessly. Main duties and responsibilities: Office Operations Own the day-to-day management of the office environment Ensure the office is fully functional, organized, and welcoming Manage office vendors (cleaning, supplies, facilities, etc.) Coordinate meeting spaces, catering, and internal events Oversee inventory and ordering of office supplies and equipment Act as the primary point of contact for any office-related needs Executive & Administrative Support Provide light administrative support to senior leadership (calendar coordination, travel, logistics) Assist in planning internal meetings, offsites, and leadership sessions Help prepare materials and ensure smooth execution of key events People (HR) Support Partner with the People team in the UK to support onboarding and offboarding processes, ensuring a seamless colleague experience Collaborate with L&D, Tech and People to coordinate new hire logistics (equipment, systems access, orientation schedules) Maintain accurate employee records and HR systems Support benefits administration and respond to employee inquiries Assist in planning and executing employee engagement initiatives (events, surveys, recognition programs) Help reinforce company culture and values through day-to-day interactions and programming Skills and Experience: Demonstrable experience in office management, HR coordination or PA/EA support roles Proficiency with tools like Google Workspace, Microsoft Office, and HRIS systems Experience of supporting multiple workplace locations would be an advantage Person Specification: Strong organizational skills and attention to detail Excellent communication skills; approachable and service-oriented Ability to prioritize and manage multiple tasks simultaneously High level of discretion and professionalism when handling sensitive or confidential data About us: Chambers is the leading legal data and intelligence partner for lawyer, firms, and in-house teams.
