Reporting to the National Operations Coordinator, the Operations Support Assistant plays a critical role in enhancing the effectiveness, efficiency, and consistency of national operations through reporting, analytics, process validation, and systems support. This position is responsible for reviewing operational documentation, validating data and reporting outputs, supporting system testing activities, and verifying protocols to ensure accuracy and alignment across business processes and platforms. This is a newly created role designed to strengthen operational excellence and support the continued growth of our national operations function. As a key contributor to system implementations, user acceptance testing (UAT), and continuous improvement initiatives, the Operations Support Assistant helps drive operational efficiency while ensuring processes are well-documented, scalable, and aligned with organizational objectives. The ideal candidate is analytical, detail-oriented, and naturally curious, with the ability to translate complex data and operational information into meaningful insights and actionable recommendations. This individual thrives in a collaborative environment and is motivated by identifying opportunities to improve processes, strengthen controls, and support business success. This is a regular, full-time remote position, Monday to Friday. The salary range is $40,000.00 to $50,000.00 CAD per year, based on experience, and includes benefits, an EAP, and an RRSP matching program from your first day of employment. What You Will Do: Provide administrative and clerical support to the National Operations Coordinator. Support user acceptance training and document results; gather, and synthesize information from different teams (IT, Finance, Operations) to resolve issues or optimize protocols. Create and maintain standard training documentation, quick reference guides, and job aids based on system/process changes. Maintain various databases up to date and support leadership with ad hoc data requests. Log, track and follow-up on system issues or defects. Review complex allocations to verify errors and inconsistencies. Monitor data quality and integrity across systems. Assist in documenting current-state and future-state workflows. Maintain records for audit readiness. Support corporate initiatives and projects, as required. What You Will Bring: Post-secondary education in Business, Data Management, or similar discipline or experience with junior level experience in a similar or administrative role. Demonstrated experience with system implementation, testing, or process support is an asset. Experience supporting system testing, implementations, and upgrades is an asset. Experience developing training materials and documentation is an asset. Ability to coordinate tasks, track issues, and support project timelines. Strong communication skills and exceptional analytical skills with strong attention to detail and accuracy. Exceptional skills with the Microsoft Office Suite including advanced Microsoft Excel skills including pivot tables, formulas, XLOOKUPS, and data validation.
