We’re looking for a seasoned Proposal & Marketing Coordinator who owns the full pursuit lifecycle, from kickoff to submission, and brings genuine creative craft to everything they produce. You know the AEC proposal world inside and out: RFQs, SOQs, RFPs, shortlists, interview prep. You open InDesign the way other people open Word. And you have the instincts to make a submission not just compliant, but compelling. You’ll work side-by-side with project teams, marketing leaders, and executives to position Holder as the builder of choice for complex, high-stakes projects. Urgency and quality are equally non-negotiable here, and you know exactly how to balance both. KEY RESPONSIBILITIES TO ENHANCE OUR TEAM InDesign & Visual Craft

  • Produce all proposal layouts, presentation decks, and pursuit materials in Adobe InDesign, this is your primary daily tool, not an occasional one.
  • Apply a strong visual eye, typography, hierarchy, whitespace, color, to transform raw technical content into submissions that look as good as they read.
  • Build infographics, diagrams, and custom visual assets independently, without relying on a dedicated design team.
  • Develop and maintain a living library of InDesign templates, layouts, and reusable assets that evolve with Holder’s brand.
  • Bring creative instincts to every page, you know the difference between technically correct and actually great.

Proposal Development & Pursuit Management

  • Own end-to-end production of SOQs, RFQs, RFPs, and interview presentations, from pursuit kickoff through final submission.
  • Drive pursuit schedules, own the deadline, and hold the team accountable in a fast-moving, multi-pursuit environment.
  • Lead content strategy for each pursuit: identify differentiators, craft win themes, and make sure every submission tells a clear and compelling story.
  • Write, edit, and organize pursuit content with a sharp focus on clarity, brand consistency, and persuasive storytelling.
  • Collaborate with project managers, technical staff, and executives to gather, customize, and elevate technical content.
  • Build and maintain project sheets, staff resumes, and boilerplate content ready for rapid deployment.
  • Prepare shortlist interview presentations and leave-behinds with the same level of craft as the written proposal.

Content & Database Management

  • Maintain and update marketing databases including Microsoft Dynamics 365 and Egnyte.
  • Track photography, pursuit data, past performance, and project information so content stays current and accessible.
  • Support broader marketing and client engagement initiatives as bandwidth allows.
