Last year our ARR jumped from $12 M to $18 M – a 50 % increase – and the finance department is the engine that keeps that growth clean and compliant. Our CFO, Maya, built a finance team of 12 full‑time professionals, and we’re now looking for a remote bookkeeper who can keep the books humming while our client roster expands. Why this role exists now In Q2 we signed three new enterprise contracts that take our monthly transaction volume from roughly $3 M to $5 M. Those contracts come with tighter reporting windows and a need for daily cash‑flow visibility. To meet the new Service Level Agreement (SLA) of a 48‑hour month‑end close and a 24‑hour turnaround on expense approvals, we need an extra set of hands on the ledger. The role is also critical to support the upcoming migration of two legacy clients from Sage Intacct to QuickBooks Online, a transition that will require meticulous data cleansing and reconciliation. What you’ll spend a typical day doing - Process incoming invoices and expense reports in Bill.com and Expensify, matching each transaction to the appropriate GL account. - Reconcile bank, credit‑card, and PayPal statements in QuickBooks Online (or Xero where a client prefers) with an eye for duplicate entries; our current reconciliation accuracy sits at 98 % and we aim to hit 99.5 % within six months. - Run payroll runs for up to 150 employees using Gusto and ADP, ensuring tax withholdings, benefit deductions, and year‑end W‑2s are accurate and on time. - Generate weekly cash‑flow forecasts in Microsoft Excel and Google Sheets, flagging any variance exceeding 5 % of projected figures. - Prepare monthly financial statements (P&L, Balance Sheet, Statement of Cash Flows) for internal review and for our auditors, who expect the final packet no later than the 10th of each month. - Assist the senior accountant in quarterly audit prep, providing schedules, supporting documentation, and answering auditor questions within a 24‑hour response window. - Communicate with our remote sales and operations teams via Slack and Microsoft Teams to clarify billing issues, resolve disputed charges, and update clients on payment status. - Maintain our chart of accounts, adding new sub‑accounts when product lines expand, and keep the accounting policies wiki on Confluence up to date. - Participate in a bi‑weekly finance “stand‑up” on Zoom, where we review key metrics, upcoming deadlines, and share any process improvements you’ve spotted. What success looks like - Month‑end close completed within 48 hours, with variance under 1 % on key financial reports. - Invoice processing time reduced from 3 days to 1 day average, thanks to streamlined Bill.com workflows. - Payroll error rate stays at 0 % – we’ve never missed a deadline in the past year. - Cash‑flow forecast accuracy above 95 % month over month. - Auditors clear each quarter without any “material weakness” notes.
